FREE LETTER TEMPLATE

Free Flight Delay Claim Letter Template

Edit the wording, keep a copy and send it yourself through your airline’s official compensation route.

Information checked: 25 October 2026

No payment. No appointment. You can claim directly from your airline for free.

Check that this template fits your claim

This is an initial request for fixed compensation for an arrival delay under UK261, where those rules apply. It is not designed for every cancellation, denied boarding, baggage, insurance or expenses claim. Check eligibility and the compensation amount before filling it in.

It is not a letter before action, a court document or a guarantee of payment. If your claim has already been refused, start with the rejected-claim guide.

How to use the letter

  1. Replace all bracketed placeholders and delete the optional connection paragraph if it does not apply.
  2. Use facts you can support. State when a time or cause is unknown rather than inventing it.
  3. Check names, dates, amounts and the operator against your booking.
  4. Use the airline’s official form or other published claim method. Paste the relevant wording into its explanation field where appropriate.
  5. Keep your finished letter, relevant attachments and acknowledgement.

Writing this letter does not submit a claim. You remain responsible for choosing the correct process and meeting deadlines. See the airline-specific guides for official starting points.

What should I attach?

Use relevant copies that support the booking, travel and disruption facts. Our evidence checklist helps you organise them. Keep any request for expense reimbursement separate and check the airline’s attachment requirements.

Provide banking or identity information only through a verified official channel when required. Do not add passport numbers or card details to this template.

What happens after I send it?

Save the submission date and reference. Respond to requests for missing details using that case reference. A refusal should be reviewed against its stated reason, rather than treated as a promise that a challenge will succeed. The rejected-claim guide explains how to consider the next step.

Your free assessment enquiry will be sent to Sort It Flights through HubSpot. This is a human-reviewed enquiry, not an instant eligibility result or a paid appointment. Give a brief summary only; leave out sensitive details and documents. An enquiry does not confirm that we can accept your case or protect a deadline.
